People Generalist - Krakow

Sprout Social is looking to hire a People Generalist to join our People team based in Krakow, Poland

The People Generalist reports into the Senior Manager, Global People Operations and HRIS with a dotted line to the Workplace Experience team.

What you’ll do

Global People Team Shared Services Support 

  • Address inquiries (tier 1 and 2 support) for international employees in APAC and EMEA via the service desk while providing excellent customer service.
  • Provide guidance and support to employees on various HR matters, such as policies, procedures, and benefits.
  • Support investigations and assist the People Business Partner team in resolving employee relations issues promptly and effectively.
  • Assist the Global Total Rewards team in researching and management of international leaves,  benefits and compensation.
  • Help ensure exceptional onboarding for our EMEA new hires by conducting a new hire onboarding session and assisting with paperwork, handbooks and system access.
  • Complete offboardings as necessary. 

Contract Management and Payroll Processing

  • Maintain accurate employee records and HRIS data, ensuring compliance with relevant laws and regulations and generating reports as needed.
  • Prepare contracts, annexes, and necessary certificates for contractors.
  • Coordinate the collection of wet signatures on contracts, and ensure that they are returned to the U.S. or organized to maintain original copies.
  • Assist accounts payable in ensuring the accuracy of B2B invoices.
  • Assist Mandates in providing accurate hours to the finance department for payment. 
  • Ensure that Mandates transition to B2B status upon reaching age 26 to maintain compliance.
  • Handle termination notices for both B2B and Mandates.
  • Develop processes and procedures for onboarding and offboarding.
  • Oversee time-tracking and the approval of time submissions.
  • Work closely with the Finance team to ensure accurate payment of Mandates. 

Workplace Experience 

  • Manage our new Krakow office:
    • Ordering and managing office supplies, equipment, and maintenance
    • Managing vendor relationships
    • Managing office facilities and ensuring a clean and organized workspace
    • Point of contact for suppliers and building administration
    • Delivering and collecting smaller parcels or documents
  • Organize recurring office-based events and team gatherings
  • Be the point of contact for visitors and customers
  • Support our Dublin Senior Workplace Experience Manager as needed on international events

What you’ll bring

A successful candidate will possess a strong attention to detail, a sense of urgency and the ability to organize time effectively. You should have a demonstrated ability to creatively solve problems and communicate promptly, especially when unusual situations arise. You should be flexible in a high-volume environment that moves and changes fast - your work will be 50% People Operations and 50% Workplace Experience responsibilities. You enjoy working with people and building relationships across all levels of an organization. 

These are the minimum qualifications that our hiring team is looking for in this role:

  • 4+ years of experience in a generalist HR role
  • Strong knowledge of Poland employment laws and regulations
  • Fluent in English and Polish language
  • Ability to work out of our Krakow office a minimum of 3 days per week

Additionally, these are the preferred qualifications that would indicate a particularly strong candidate:

  • Proficiency in HRIS systems and Microsoft Office Suite
  • Previous experience with office management and/or event planning

How you’ll grow

Within 1 month, you’ll plant your roots, including:

  • Experience Sprout’s in-depth onboarding, covering everything from our company mission and values, hearing directly from executives and founders to deep training on our products and the value that Sprout delivers to our customers.
  • Make a plan with your manager to set initial priorities, align on expectations for your role, plant goalposts for your career, and learn about Sprout’s approach to People Operations and Workplace Experience.
  • Shadow our current processes pertaining to onboarding, offboarding, and system maintenance for domestic and international team members.
  • Become familiar with our HRIS (Workday) and our international payroll system (TBC). We want you to dive in and help us find ways we can optimize our processes. Don’t be afraid to give us feedback. We welcome it!
  • Be introduced to building management to understand proper office security protocol.
  • Learn to use our internal service desk system and fulfill mailing and other office support requests.
  • Manage mailroom parcel volume and capacity.
  • Get to know our current vendors and begin to support our team, ensuring the office is stocked with food, beverages, office supplies, etc.

Within 3 months, you’ll start hitting your stride by:

  • Support our onboarding process and ensure compliance by owning items such as entry of new hires in our various systems, issuing and monitoring handbooks, attending onboarding sessions and completing I-9s/E-Verifies. Identify areas of improvement and partner with key stakeholders to automate or streamline processes.
  • Fully own People Operations and Workplace Experience service desk tickets from our employees including general inquiries to more advanced requests that require troubleshooting or partnering with our Workday consultant, Collaborative Solutions.
  • Actively support fellow People Operations functions including Benefits, Payroll, Equity and Compensation with initiatives or needed support.
  • Own all components of office management and event planning - from access to vendor management.

Within 6 months, you’ll be making a clear impact through:

  • Have your first performance conversation with your manager, where you’ll discuss your accomplishments in your role and work together to build goals for your professional growth.
  • Work closely with People Operations team members and vendors to help optimize Workday or Vistra to account for new functionalities, streamlined workflows and improved compliance.
  • Feel comfortable making modifications to Workday for enhanced business processes, security or features in partnership with our HRIS Analyst.
  • Use data and your instincts to identify inefficiencies and innovate/improve your support to the Krakow office workplace experience.

Within 12 months, you’ll make this role your own by:

  • Be completely at home as a critical member of the People Ops and Workplace Experience teams, as well as the company as a whole, with a deep understanding of the team’s needs.
  • Surprise us! Use your unique ideas and abilities to continue to advance our systems and workflows, People Ops team and Sprout in ways we haven’t even considered.

Of course what is outlined above is the ideal timeline, but things may shift based on business needs and other projects and tasks could be added at the discretion of your manager.

The base pay range for this role is 7,933 - 11,900 PLN  Monthly  Salary. Individual base pay is based on various factors, including work location, relevant experience and skills, the responsibility of the role, and job duties/requirements.

These ranges were determined by a market-based compensation approach; we used data from trusted third-party compensation sources to set equitable, consistent, and competitive ranges. We also evaluate compensation bi-annually, identify any changes in the market and make adjustments to our ranges and existing employee compensation as needed.
